This Privacy Policy explains how HITEK AI ("HITEK AI", "we", "us", or "our") collects, uses, and protects personal data in connection with CONDTEK, a HITEK AI product, and the condtek.ai website. CONDTEK is an AI-powered asset condition intelligence platform. We are committed to handling personal data in accordance with Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the "UAE PDPL") and its implementing regulations.

1. Scope and roles

This policy applies to visitors to condtek.ai, people who contact us through our forms, and users of the CONDTEK application and platform.

Where an organisation deploys CONDTEK for its own field teams, that organisation is the controller of the asset and survey data its teams capture, and HITEK AI acts as a processor on its behalf under a separate agreement. For our website and direct enquiries, HITEK AI is the controller of the personal data described below.

2. Personal data we collect

  • Information you provide: your name, company, work email, phone number, country, and any details you share about your asset portfolio when you submit a form, request a demo, or request a proposal.
  • Account information: where you hold a CONDTEK account, your name, work email, role, and organisation.
  • Survey content: photographs of assets, spoken remarks and audio recordings, asset attributes, and observations captured during a survey.
  • Location data: GPS coordinates and a timestamp recorded at the point of capture, used to geo-stamp assets and records (see section 6).
  • Device and usage data: IP address, browser and device type, pages viewed, and similar analytics information.
  • Cookies and similar technologies (see section 5).

3. How we use personal data

We use personal data to respond to your enquiries and demo or proposal requests; to provide, operate, and support the CONDTEK platform; to manage accounts and security; to improve our products and website; to send service communications; and to comply with our legal obligations.

Under the UAE PDPL, we rely on one or more of the following legal bases: your consent; the performance of a contract with you or your organisation; compliance with a legal obligation; and our legitimate interests, where these are not overridden by your rights.

4. Cookies and analytics

We use cookies for essential site functionality and, where enabled, for analytics and marketing measurement. Subject to the tools currently deployed on condtek.ai, these may include [Google Analytics 4, Meta Pixel, LinkedIn Insight Tag, and similar]. You can control or disable cookies through your browser settings, though some site features may not function without them.

5. Location data

CONDTEK records GPS location and a timestamp at the moment an asset is photographed, so that each asset and condition record can be geo-stamped, verified, and audited. Location is captured only during active use of the capture features within the application. CONDTEK does not track device location in the background.

6. How we share personal data

We do not sell personal data. We share personal data only with: service providers and sub-processors who host and operate the platform under contract and on our instructions; the organisation that deployed CONDTEK, where you are its user; our professional advisers; and competent authorities where required by law.

7. International transfers

Where personal data is transferred outside the UAE, we apply the safeguards required by the UAE PDPL, including ensuring an adequate level of protection or putting in place appropriate contractual safeguards.

8. Data retention

We retain personal data for as long as necessary for the purposes set out in this policy, for the duration of your relationship with us, and as required by law. Survey data processed on behalf of a client organisation is retained in line with our agreement with that organisation. 9. Security

We apply appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or misuse, including access controls, encryption in transit, and an approval and audit trail within the platform. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your rights under the UAE PDPL

Subject to the conditions of the UAE PDPL, you have the right to access your personal data; to request its correction; to request its deletion; to restrict or object to certain processing; to request portability; and to withdraw consent where processing is based on consent. You may also lodge a complaint with the UAE Data Office.

11. Children

CONDTEK and condtek.ai are intended for business and professional use and are not directed at children. We do not knowingly collect personal data from anyone under the age of 18.

12. Changes to this policy

We may update this policy from time to time. The effective date at the top of this page indicates when it was last revised. Material changes will be communicated where appropriate.
